8. Duties and Responsibilities of Event Coordinator
-An event coordinator is the responsible person designated by the TMHS Board of Directors to manage a specific event. The event coordinator is not required to be a member of the TMHS, but membership will confer certain advantages to the coordinator.
Sequence of events
Any changes to TMHS minimum authenticity standards must be passed to the Board at least 90 days and published for the general public by the event coordinator a minimum of 30 days before the event to allow time for people to get the needed equipment. This is informational. The TMHS BoD will not be allowed to make any changes to the Event Coordinator’s plan.

There is no requirement to announce the event as a TMHS event. The individual or unit putting on the event is solely responsible for the success of the event and is therefore deserving of the credit. The only requirement is to publish the discount for TMHS members.
Required Operating Rule Changes:
-1.2 Add: A unit becomes a premier unit when it begins the reenacting season with 10 paid members.
-1.5 Delete all, Replace with Members of forming units and unattached personnel are welcome at events as long as they are willing to conform to the event coodinator’s authenticity requirements, battle rules and event chain of command.

- Prior to volunteering the EC will determine the time and place they wish to conduct the event, determine the theater and time frame of the event, and make an initial coordination with the landowner to verify the location is available that weekend. He should also consult the events page of the TMHS website to ensure he is not conflicting with another event.
- After verifying the time and place desired is available, the EC will contact the Vice President of the TMHS and request to be made an event coordinator. The VP will confirm date and time, verify there are no conflicts, and present the request to the President for approval.
- The President will approve the request and will add the event location to the TMHS insurance, make announcements on both the TMHS website and Facebook page, provide the EC with copies of any documentation needed, and assist in any other way possible. In the event the President decides not to approve the event, he will provide an explanation in writing to the EC within 10 days explaining why and detailing any actions necessary to get approved.

Event Conflicts
- In addition to insurance, it will be incumbent on the TMHS to manage events so as to maximize participation. To this end, it will be the policy of the TMHS to sponsor only one major event per month. “Niche” battles will be the exception to this rule. Pacific, DAK, and Eastern Front events which exclude large portions of the membership will not be scheduled as a month’s only event unless absolutely necessary. Ultimately the goal will be to have a fairly predictable schedule where the niche events are clustered in certain months. Public events will be counted on a case by case basis.
- Event Coordinators from premier units of the TMHS will pay a surcharge to cover the cost of the insurance rider for the event. Members of recognized units will pay a fee of $60. Members of unrecognized units or units forming who wish to set up an event under the TMHS will be charged $120. Non-Members will pay $150 for the privilege. Regardless of whether the EC is a member or non-member, any event fees charged will come with a minimum $5 discount for members of TMHS. The BoD can increase or decrease the insurance cost by a majority vote either at the beginning of the battle season, or at the beginning of the calendar year. Any changes made must be uniformly applied for the remainder of the battle season.
Other Considerations
- After receiving approval from the President, the event coordinator has complete responsibility and authority over how his event will be run with one exception. Safety rules will be in accordance with TMHS safety rules. Any deviation from those rules must be reviewed prior to the event by the Safety Officer and approved by the Safety Officer, VP, and President.
